Privacy Policy

Who this is for

School Reports is an internal tool for authorised school staff — subject teachers, class teachers, house parents, reviewers and administrators. Accounts are created by the school administrator; there is no public sign-up.

What we collect

• Staff account details: name, email address, assigned roles and class allocations.
• Student records held by the school: name, admission number, class, house and gender.
• Report content written by staff, along with review comments and workflow history.
• Parent/guardian names and email addresses, used only to deliver finalised reports.
• Security and audit information such as sign-in events, report status changes, and — for teacher and house-parent roles — network and approximate location checks used to confirm access is from campus.

How we use it

Data is used solely to operate the reporting cycle: writing and reviewing reports, notifying staff of pending actions, and emailing finalised report PDFs to parents and guardians from the school inbox. Report text may be processed by an AI service to provide spelling, grammar and tone suggestions; it is not used to train third-party models.

What we do not do

• No advertising, ad networks or cross-app tracking.
• No selling or sharing of personal data with third parties for marketing.
• No collection of data from students directly.

Storage and security

Data is encrypted in transit and stored on the school's managed backend with row-level access rules, so staff only see the students and reports relevant to their role. Sensitive actions such as unlocking a finalised report require email one-time-password verification by both an administrator and the principal.

Retention and deletion

Reports are retained as part of the school's academic records. Staff accounts are deactivated when a member of staff leaves. To request access, correction or deletion of personal data, contact the school administrator.
